You have the option of either dictating directly into our dial-in dictation servers via toll free telephone line or you may use digital handheld recorders.

Our Toll free dictation servers are accessible 24x7 and you may dictate from anywhere at anytime using a touch-tone/Mobile phone.

5) Which digital handheld recorder do you recommend?

We recommend digital recorders that are very easy to use and are competitively priced from Olympus , Sony, Dictaphone, etc.

6) Does SANPRA provide Digital handheld recorders?

SANPRA provides free digital handheld recorders for those clients who sign up contract for a 1-year period with a committed volume.

7) Will I need additional Hardware or Software?

You will need a Desktop PC with Windows 98 or higher operating system with Internet Explorer 5.5 version and above. You will need DSL /broadband/cable Internet connection for faster uploading of dictation’s when using handheld recorders.

8) Do I need special software to upload the files?

Once you sign-up with SANPRA, we will provide the complete Instruction sheet of how to use the Digital recorder, how to use our web-based system to upload audio files, download reports etc. You do not need any additional software. All you need is only a Desktop PC with a web interface.

9) Can I upload from different locations?

You can upload from different locations as long as you have an access to the Internet using Internet Explorer 5.0 and higher version.

10) How shall I get started with the free trial offered by your company?

You can call us at 732.790.0817 . You can also email us at info@sanpra.com with your desire to use our Free Trial offer. Once the details are received we will set up your account for a Free Trial upto 3 days or 500 lines whichever is earlier.

11) What will be your billing and payment terms?

We bill the clients on a fortnightly basis. Our billing cycle would be either 15 th/30th (or 31st) of every month. Even if you subscribe to our services in the middle of the month, you will be completing the first billing cycle on the 15 th or last day of the same month. Billing Statements are due for payment upon receipt and our standard method of acceptance of payment is by check / wire transfer. In certain cases we also accept payments through credit/debit cards.

12) Do you charge extra for creation of templates?

No, we do not charge extra for design of templates.

13) What is the your turnaround time?

Our standard turn-around time is 24 hours. SANPRA guarantees the timeliness of all work. Turnaround times are consistently monitored throughout each business day to ensure that turnaround standards are met.

14) What if I need a STAT work?

STAT dictation is executed upon request, in the most-timely manner possible. Charges for STAT work will be higher depending on the TAT.

15) How much do you charge?

We charge per line, based on the AAMT standard of a 65-character line. We would be able to quote you a price after understanding the "scope of work". It is impossible to provide one set price when no two clients have the same requirement.

16) How long are transcriptions archived?

We archive transcribed files as per client’s requirement. Normally the transcribed files are archived for a year.

17) What kind of experience does your transcriptionists have?

Our average transcriptionist has a minimum of 4 years experience. Our editors have average of 7 years experience. Our Quality Assurance program is in accordance with the AAMT guidelines assuring 98.5% accuracy rate. Additional training is given to keep our staff up to date on all advancements in medical terms, procedures, etc.

18) Does your transcription staff sign non-disclosure and confidentiality agreements?

Yes, all our transcriptionists as well as supporting staff need to sign non-disclosure and confidentiality agreements before they take employment with us and it will be in effect two years post their disassociation from our company.

19) Do you have any redundancies for your dictation servers and other servers?

Our servers are built with fault tolerance – mirrored drives. A redundant system is ready in case of failure. A backup system is also ready offsite in case primary system fails.

20) Who are SANPRA's clients?

We work with MTSOs, Hospitals, clinics and individual physicians. All can count on the same attention and outstanding quality.

22) How much time will it take to sign me up?

Not long at all. It will take less than 1 business day for the set-up process and one of our support team member will schedule a time for a brief training.

23) What is SANPRA’s QA process?

SANPRA’s QA program utilizes the AAMT guidelines as a starting point, but furthers the process by adding monitoring and evaluation processes. We believe the result is one of the most stringent and comprehensive QA guidelines in the industry. Every report completed by our transcriptionists goes to our Quality control department where a senior transcriptionist or an Editor checks them again. These reports are then proof read and finally checked by a QA.

24) Are your practices HIPAA compliant?

Security and confidentiality is at the core of what we do. We are fully compliant with applicable HIPAA regulations and other relevant laws pertaining to security and confidentiality. We use HIPAA approved data storage and file transfer protocols. All work is securely encrypted for confidentiality. Our comprehensive procedures maintain the patient information chain of trust.
